About Kindle Consult

Software built by the doctors who sign the reports

Kindle Consult (Kindle Management Solutions Sdn Bhd) is a Malaysian occupational health and industrial hygiene practice based in Kuching, Sarawak. We've spent years inside demanding operations — offshore platforms, plantations, chemical and manufacturing plants — running the very programmes our platform now digitises.

Data & privacy

Audiograms and identity numbers are sensitive personal data. We treat them that way.

Under the Personal Data Protection Act 2010 a worker's health record is sensitive personal data, and under the Occupational Safety and Health (Noise Exposure) Regulations 2019 it has to be kept for the length of their employment plus five years. Those two obligations pull in opposite directions. Here is how the platform holds both.

What that means in practice

  • Everything stays in Malaysia. The database and the application run in the AWS Asia Pacific (Malaysia) region — including the email that carries staff invitations, which is sent from inside the country rather than routed abroad.
  • Identity numbers are never stored in full. An IC or passport number is reduced to a keyed one-way hash plus its last four digits. The system can tell whether two records describe the same person; it cannot reproduce the number, and neither can anyone who obtains a copy of the database.
  • Each testing centre sees only its own records. Separation is enforced by the database on every single query, not by the application remembering to filter.
  • Signed reports cannot be quietly edited. A signature is immutable, the doctor's name and MMC number are frozen onto the report as it is signed, and any later amendment is recorded beside it with its own author.
  • People are retired, never deleted. A practitioner who has signed a report stays resolvable for as long as that report is retained — decades, in practice.

Email from this system

Two kinds of message, to named people who are expecting them

OSH Nexus sends transactional email only. Every recipient is a member of staff at a contracted client organisation, added by an administrator at that organisation.

What we send

  • Account invitations — when a testing centre's administrator adds a technician, doctor or colleague, so that person can set their own password
  • Password resets — only when the account holder asks for one
  • Sent from noreply@kindleconsult.com, from inside Malaysia
  • Bounces and complaints are monitored and suppressed automatically

What we never send

  • Marketing email, newsletters or promotions of any kind
  • Anything to a purchased, rented or scraped list
  • Anything to a person who was not added by their own organisation's administrator
  • Clinical results by email — records are read in the application, never attached to a message
